How to choose the system that is best suited for you.
In the world of communications, video conferencing, web conferencing and online meetings are becoming important tools for organizations that must communicate fast with staff, clients, supply chain, and shareholders in different geographical locations. Chances are that you have been considering utilizing web conference technology for your enterprise. It is important to first outline your requirements and then compare them with various online conferencing systems that are being offered in the marketplace. Here are a few tips when you think about a system:
1. Browser based system or Proprietary software?
The earlier web and video conferencing applications had their own software and even specific hardware peripherals to install. Now it is possible to utilize platforms for web conferencing that run on all browsers and all operating systems without the need for special changes on security policies. Determine how many connections you’ll require. Choose the one that best meets your immediate and long-term scalabilities. Pay close attention to the quality of video and audio.
5. Needed features?
Moderator controlled environment, live audience video, VoIP, text chat, and online presentation are some of the current features you should look for. Make a list of the communications features that you need and match them to the capabilities of each system that you consider.
6. Budget restriction, Platform Finance?
Of course you want the most features that are possible but you also have to weigh-in the costs. When you make your decision, keep in mind the benefits that you will obtain by communicating online must outweigh, the cost of actual expense line item underlined as T&E (Travel & Entertainment). Compare and build cost savings matrix against the fees charged by the conference technology providers. Select a communications package that should provide the most favorable return on investment.
